Job Description and responsibilities
Background to FACE: FACE for Children in Need is a Belgian charity, founded in 2003, whose goals are to safeguard children, by addressing their needs and working with their communities to create practical, innovative and sustainable solutions to ensure them a better future. FACE currently has five projects in Cairo Egypt; two centers for Abandoned Babies 0 – 2 years (Hegazy and Maadi locations), one center for street children (El-Salam district), a Mother and Child Healthcare center in Ghoussous (being built), and a new orphanage 2 – 8 years in Banha.
Job Title: Project Manager, Street Children Project
Reports to: Director of Project Development (DOPD) and FACE Founder
Job summary: To insure the smooth and optimum function of the Street Children Project, using personal initiative to push the project into the future and optimize activities
Job Description: Responsibilities/Tasks
Supervise the Salem accountant/administrator (once employed) to make sure that funds are properly used and accounted.
Keep monthly Salem budget updated until accountant engaged.
Report to FACE Director, DOPD and Founder on expenses and finances.
Prepare financial report to donors with supervision from DOPD until accountant engaged.
Supervise purchase of materials and organisation by activity.
Sign all letters/emails (or be copied on) to any external organisations regarding the project with approval from DOPD.
Oversight of centre functioning.
Keep copies and filing of all important documents relating to the project.
Organise agenda’s for meetings with project members and external parties.
3-Human Resource Management and Development
Advise and supervise the Team Leaders (TL) in preparation and updating of staff development plans.
Give final decision with Founder and DOPD on staff recruitment, dismissals, training requirements, and evaluation.
Prepare all job descriptions and ensure signing of Code of Conduct and contracts by staff prior to engagement in coordination with the FACE HR manager.
Ensure Child Protection Officers conduct training for all new staff.
Ensure all new staff receive training in procedures put into place by partner organisation, Friends International.
Supervise and approve all 3 monthly staff evaluations.
Conduct annual staff appraisals.
Constantly supervise and reinforce training and confidence of the team, by engaging regularly in outreach activities, and being at the Drop-In Centre(s) on a daily basis.
Flexibility to travel abroad to training if requested by management.
4-Fundraising for supporting programs and Administration, supervised by DOPD
Accompany donor agencies/visitors to visit the projects.
Contact with donor agencies for fundraising and follow up.
Write the necessary project proposals with help from the Accountant for budget.
Send project proposals to donors.
Keep regular contact with National Council of Childhood and Motherhood (NCCM) and attend meetings when required with the FACE Director.
Attend all Ministerial Task Force meetings for the project advancement in collaboration with the FACE Director.
Create partnerships and mutually beneficial collaboration with other services, NGO’s and manage relationships.
5-Planning & Implementing
Consult with the DOPD to prepare strategic plans and annual implementation plans.
Organize 3 year strategic plan, annual implementation plan, and midyear review planning workshop and writing reports.
Check and approve the plans and send them to related agencies.
Supervise project implementation.
6-Monitoring, evaluation, and problem solving
Short weekly Management Meeting with Directors and FACE Director.
Weekly Team Meeting for Outreach team, Drop-In Center team and Case Management Team for feedback on past week, week ahead and problem solving.
Prepare agendas for and organise Management Team meeting and other staff meetings as required.
Monitor all programs and project implementation activities and impact (Outreach, DIC, Case Management).
Write annual program/project reports.
Conduct staff performance evaluation annually.
Organise external project/program evaluation.
Solve the work problems/conflicts related to staff or related people.
7-Reporting, in collaboration with DOPD:
Write all progress reports, final reports, and annual report.
Oversee and supervise any budgets or financial reports written by the Grant Advisor.
Send all reports to donors and related agencies.
Supervise timely receipt of all project reporting.
On behalf of the organisation, the Project Manager is responsible for making and strengthening relationships and networking with relevant institutions, agencies and NGOs by attending meetings, seminars, workshops, events, and other activities ; as well as looking to develop, strengthen and grow the project by using personal initiative and creativity.
From time to time, the organisation may require additionall work to that listed above.
